Privacy Policy
easycheckin.ge is committed to protecting the data entrusted to us. This policy explains how we collect, use, disclose, and safeguard information when you use our platform — whether you are a property operator (“Client”) or a traveler completing a pre-arrival check-in (“Guest”).

1. Information we collect
From Clients (property owners and hosts) we collect account data — contact details (name, email, phone), business name, billing address, and payment information — plus the integration credentials or API keys needed to connect your PMS, channel manager, or payment gateway. From Guests, on behalf of Clients, we collect profile details (full name, date of birth, nationality, contact), identity verification (uploads or scans of government-issued IDs, passports, or driver's licenses), booking details (arrival and departure dates, room types, accompanying guests), and financial data (card details or payment tokens processed securely via integrated third-party gateways).
2. How we use the information
We use the data to facilitate and automate pre-arrival registration and online check-in; to process payments, tourist taxes, and security deposits; to sync guest profiles and verification statuses back to the Client's PMS; to help meet local lodging laws and reporting standards; and to maintain, analyze, and secure the platform. We do not sell personal data.
3. Data sharing & third-party disclosures
We share information only with trusted parties needed to run the Service: the guest's property host, the connected hospitality stack (PMS, channel manager, or electronic-lock system integrated by the property), and PCI-DSS-compliant payment processors (BOG, TBC, Stripe) via encrypted protocols. We may also disclose information where required by law, court order, or governmental authority.
4. Data security & encryption
All data transmitted through the platform is encrypted using industry-standard SSL/TLS, and data stored on our cloud infrastructure is encrypted at rest. Access to guest data within our company is strictly limited to authorized personnel who need it for maintenance or support.
5. Data retention
We retain guest personal data and ID documents only as long as needed to fulfill the check-in service, satisfy the property's operational and regulatory requirements, or as set out in our contract with the Client. Client account data is retained for the duration of the Client's active subscription. To recover from a failure or a mistake, we also keep backups, for up to 12 months. If we ever restore data from a backup, anything already erased at the end of its retention period is erased again. ID documents and photos we erase are removed from our off-site backup copy within 30 days.
6. Your privacy rights
Depending on your location, you may have rights under GDPR, CCPA, and similar standards to access, correct, or delete your personal data. Because we process guest data on behalf of the property, guests should direct privacy inquiries or deletion requests to the hotel, rental host, or property-management company they booked with.
7. Changes to this policy
We may update this policy to reflect changes in our technology or legal obligations. Material updates will be posted on this page with a revised “last updated” date.
