Guest registration at a hotel, without paper
A hotel needs to know who is staying with it. Usually that means a paper form, a copy of the passport and details typed in by hand. Here is how the same thing works online, and how the data is kept.
What is collected
From the passport or ID card: full name, document number, nationality and date of birth. On top of that, whatever fields your property needs, such as the purpose of the visit or a car registration.
Scanning instead of typing
The guest scans the document with the phone camera and the system fills in the details. That removes the most common mistake, a surname or number copied wrong. A photo of the document is kept with the guest's record.
Every guest, not only the one who booked
Often several people share a room. The person who booked sends their companions a link, and each adds their own document from their own phone.
The registration card
At the end of registration the guest signs the registration card on screen. The signed card is kept with the booking, and you can open it at any time.
A list that is always ready
Registered guests are kept in one list in the admin panel. When you need it, you can download the list as a file, and every such download is logged, so you know who exported guest data and when.
Protecting the data
Guest details and documents travel over a secure connection and are kept only for the period set for your property. When that period ends, they are deleted automatically. How we process the data is set out in full in the privacy policy.
