How online check-in works at a hotel

With online check-in, the guest registers before arrival, from their own phone. Here it is step by step: what the guest does, and what the front desk sees meanwhile.

1. The booking arrives

The booking arrives automatically from your PMS or channel manager, or the desk adds it by hand. Every booking has its own check-in link, so a guest who booked on Booking.com, on Airbnb or by phone follows the same path.

2. The guest gets a link

The guest receives a personal link or QR code. It opens in the browser on any phone, in Georgian, English or Russian. There is no app to download and no account to create.

3. The passport scan

The guest scans a passport or ID card with the phone camera. The system reads the strip at the bottom of the document (the MRZ) and fills in the name, document number, nationality and date of birth. The guest only checks that it read everything correctly.

When several people share a room, each of them can add their own document from their own phone.

4. Signature and payment

The guest signs the registration card on screen. If you have online payment switched on, they then pay the balance or a deposit by card. Card details never reach our servers; the payment provider handles the payment.

Both steps are optional. If you would rather take the signature or the payment at the desk, switch them off and check-in completes without them.

5. The key

If you have a smart lock or a key box, the guest gets the door code automatically, on your schedule: straight away or on the day of arrival. If you hand keys over in person, the guest sees that too and knows where to go.

What the front desk sees

The arrivals board in the admin panel sorts guests into three columns: needs attention, in progress, and done. Each card says why it is there, for example that the guest stopped at the passport step. So the desk only contacts the guests who actually need help.

What the hotel gains

No queue at the desk, no details copied by hand, and fewer mistakes. A guest who has paid in advance cancels at the last minute less often. And the guest gets to the room sooner.
